This modules deals with the settings for the registration fees, stationery fees and administration fees and whether VAT should be charged to these accounts or not

How to define the settings for the registration fees

To define the settings for the registration fees, go to System/Configuration/Register Part 1. The following screen will be seen:

• Registration Fees: If you charge registration fees, here you can specify the amounts to be paid by each client type: Individuals, Business and Groups. The registration fees may be different for every type of client, depending on your organization's policy.
• Stationery Fees: If you charge stationery fees, here you can specify the amounts to be paid by each client type: Individuals, Business and Groups. The stationery fees may be different for every type of client, depending on your organization's policy.
• Administration Fees: If you charge administration fees, here you can specify the amounts to be paid by each client type: Individuals, Business and Groups. The administration fees may be different for every type of client, depending on your organization's policy.

Note that the amounts you set here are taken as compulsory minimum fees, i.e. you will not be able to save a new client if you don't enter his/her fees which are equal or more than the ones set here.

• GL Account: From the drop down list select the General Ledger account for the booking of registration, stationary and administration fees. This account should have been defines at Accounting\Chart of Account . You can also create a new account by clicking on the New GL Account button. This gives you access to the Chart of accounts from where you can create the new accounts for booking fees.
• No shares/savings/loan transaction can be entered unless client has paid registration fees: When this option is ticked, then all clients must pay registration fees for them to be able to transact in shares, savings and loans. Other wise a message like one below will appear:

• Width of the Clients Reference No.: This is the maximum number of digits for the client's reference number. At data entry you will not be able to enter a reference number with more digits than specified here. By default, Loan Performer sets it to 10.

Note that "Width of the Clients Reference No" can not be used concurrently with "Automatically generate reference number" you have to choose one option.

• Format of the Reference No.: To facilitate the data entry you can set the typical format of the reference number. Later the data entry personnel will only be able to enter reference numbers in the specified format. You can use "9" for figures, "X" for any characters and symbols like "-", "/" and "\" for separators (e.g., format "XX/9999" means that you can enter a eight digit reference number where the first two digits are any characters, the last four are figures and they are separated by dashes (-) for the reference number and the same for the statistic number separated by forward slashes (/) as seen below:

• Automatically generate reference number: Tick this option and LPF will generate new client's reference numbers automatically at registration. However You will have to enter the prefix for the reference number e.g. "Ref"
• Reference number prefix: Organizations may prefer to have prefix i.e characters, figures and or letters preceding the reference number,the Reference number prefix field allows you to enter that prefix e.g "Ref" depending on the reference format also the prefix "Ref" will appear in every reference number field. Note that the LPF reference number prefix only takes in letters

• Width of the Voucher Number field: This is the maximum number of digits for the voucher number will have so that at data entry you will not be able to enter a voucher number with more digits than specified here. By default, LPF sets it to 10.
• Format Voucher Number: You can format the Voucher Number in the same way you format the Reference No. above.
• Voucher number prefix: Organizations may prefer to have prefix i.e characters, figures and or letters preceding the voucher number, the Voucher number prefix field allows you to enter that prefix e.g "KA". Depending also on the voucher number format, the prefix KA with the chosen separators will appear in every voucher number field like one below:

• Width of the Statistics Number field: This is the maximum number of digits for the statistics number. At data entry you will not be able to enter a statistics number with more digits than specified here. By default, LPF sets it to 10.
• Format Statistics Number field: You can format the Statistics Number in the same as Reference No. above.
• Width of the Membership Number field: This is the maximum number of digits for the group member's membership number. At data entry Loan Performer will automatically assign to every group member a number. By default this is 4 digits wide.
• A client can not have more than one savings account per product: When this option is ticked, clients will not be allowed to have more than one account of the same savings product like it is in the image below:

The following message will be displayed if a user tries to add a second account of the same product when that option is selected

• Maximum number of group members: Enter here the upper limit of members a group will have. Above which the system will not allow at registration.
• Charge VAT: Tick this check box if your organisation charges VAT on Purchases and Sales.

Click the Save button to save Register Part 1 settings and either Close button to exit the menu. You can view/print the parameters of this configuration item and print them for future reference.
